Board Resolution – Amendment to COVIDSafe Policy effective 1 December 2022

On 29 August 2022 the Board of Directors amended the SCA Inc. COVIDSafe policy.

The SCA Board of Directors has aimed to balance getting Society participants back to doing the things we love with measures that support Kingdoms in minimizing risk during the COVID-19 pandemic. Our COVIDSafe Resolutions have provided a flexible, risk-based framework that allows Kingdoms in the United States and Canada to put in place a core set of requirements that event organizers and individuals must adhere to, based on their current risk levels as well as public health directions and advice.

As more information becomes available, the Board reviews and updates its resolutions where necessary, in line with its responsibility to act diligently, with due care, and in good faith. This is never more important than with issues related to the health and safety of our participants.

In line with this approach, and in light of recent changes to the national strategies in both the US and Canada to addressing the COVID-19 outbreak shifting from a focus on containment and prevention to treatment of symptoms to minimize the risk of serious illness and death, the Board has resolved the following:

After December 1, 2022, all prior requirements, including social distancing, masking, vaccinations, and testing under the COVIDsafe policy shall be lifted, including those previously left to the Kingdoms to determine, except that the following language is still required to appear on all event notices, flyers, online announcements, and advertisements, as well as being posted in multiple locations (including gate) at any and all SCA-sponsored functions going forward:

Although the SCA complies with all applicable laws to ensure the health and safety of our event participants, we cannot eliminate the risk of exposure to infectious diseases during in-person events. By participating in the in-person events of the SCA, you acknowledge and accept the potential risks. You agree to take any additional steps to protect your own health and safety and those under your control as you believe to be necessary.

Participants who have tested positive at any time in the ten days preceding their intended entrance to an SCA event should not attend any SCA event.

The Board recommends that anyone experiencing symptoms consistent with COVID or who has been exposed to COVID within the five days preceding an event, should self-test the morning of their intended arrival at an event.

Anyone experiencing symptoms consistent with COVID at an SCA event should leave the event immediately.

The Society Seneschal, in consultation with the Society President, may enact any or all previously approved COVIDsafe policies as needed in any Kingdom in the US or Canada, and present such changes or variances for Board approval at the next scheduled Board meeting.
