To the membership and participants of our organization,
Thank you for your patience as we address the error in the initial proposed Confidentiality and Responsible Information Use Agreement policy addition announcement. We apologize for the original omission of the necessary information for you to provide commentary.
Our goal is to protect our membership throughout difficult circumstances by protecting confidential information, to the best of our abilities, from being shared outside the scope of any necessary investigations or sanction deliberations. We hope this clears up some of the confusion that was created with our initial announcement.
The intent of this proposed change is to ensure that our officers are actively aware of their responsibility to the security of our membership, particularly regarding private personal information, sanction-or investigation-related matters, and other sensitive information as an official member of the SCA leadership. This proposed policy addition focuses on Royals, but Members of the Board of Directors, Corporate Officers, Employees, Corporate and Kingdom Investigators, Kingdom Seneschals, and Kingdom Exchequers will be expected to execute the agreement too. While we have clear policies for officers in their respective handbooks, we seek to ensure that royals, who are also officers of the corporation, understand their responsibilities, too.
We have drafted the proposed policy addition as a starting point. With your input, we will either move forward with the current version or revise it accordingly. We value your opinions and ideas as you are the foundation of our organization. We look forward to reading any alternatives you wish to recommend.

Proposed addition to Corporate Policy, item XXI:
“Execution of the Confidentiality and Responsible Information Use Agreement by Royal Heirs
Each competitor and prospective consort in a Royal List must be prepared to execute the Confidentiality and Responsible Information Use Agreement, hereafter referred to as “the agreement”, should they be victorious. Within ten business days after being declared victor in a Crown or Coronet Tourney, the Victor and Consort must individually execute the agreement and present it to the Kingdom Seneschal, unless they have previously executed the agreement within the last ten years. The Kingdom Seneschal shall confirm to the Society Seneschal by email that the Royal Heirs have executed the agreement at their earliest convenience and shall send the properly executed agreement to the corporate office within 10 business days.”
